Overview:

We are seeking a proactive and detail-oriented Trade Show and Events Coordinator with 3-5 years of experience to take ownership of our trade show and event processes. In this role, you will manage everything from logistics to marketing and sales support, working closely with the team to organize each of our national and local events plus our annual user conference, ensuring a positive ROI through cost management and pipeline development.

Responsibilities:

  • Manage the end-to-end logistics for trade shows and events, including hotel room bookings, registration for events, pre-conference meetings, post-conference meetings, venue coordination, vendor relationships, and on-site execution.
  • Collaborate with marketing to develop and execute event promotion strategies, ensuring brand alignment and audience engagement.
  • Support the sales team by providing necessary materials and strategies to build and track pipeline during events.
  • Assist in the planning and execution of the annual user conference, coordinating timelines, session content, and attendee experience.
  • Monitor and manage event budgets to ensure costs are kept within set limits while maximizing event effectiveness. Analyze post-event performance to evaluate ROI, making recommendations for future improvements.

Qualifications:

  • 3-5 years of experience in trade shows, event coordination, or related fields.
  • Strong organizational and communication skills with attention to detail.
  • Ability to work effectively in a fast-paced, dynamic, and team-oriented environment.
  • Experience in budget management and cost tracking.
  • Ability to manage multiple projects simultaneously while maintaining deadlines.
  • Proficiency in event and project management tools like google apps, Hubspot, and Monday.com.

Critical to the function of this role, it will be located in Estero, FL at the Rentvine office. This role is perfect for someone who is passionate about creating memorable events while contributing to business success through strategic coordination and efficiency.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

This role requires the physical stamina to stand, walk, and move about event venues, the ability to lift up to 30+ lbs and handle materials with manual dexterity, and the willingness to travel frequently for extended events, including potential overnight stays.
